Trade fair lead scanner or your own system: what is the difference
What the official lead scanner does, what it does not do, and when to complement it with your own page, a QR code and a follow-up sequence.
Many organisers offer a lead scanner: a device or app that scans the visitor's badge and saves their details. It is useful, and you do not have to give it up. The right question is not “scanner or own system” but what each one does and what is left uncovered.
What the official scanner does well
- Fast capture: the visitor shows their badge and is recorded.
- Reliable data: names, companies and job titles come from the fair registration, not from something typed in a hurry.
- No friction for the visitor: nothing to fill in.
- One file at the end: you receive the list of scanned contacts, usually as Excel or CSV.
What it does not do (or not fully)
- It does not tell you what that person wanted, unless your salesperson notes it. The file usually has contact details, not interest.
- It does not send material on the spot. The visitor leaves with nothing of yours on their phone.
- It does not follow up. It gives you a list; writing to them is your job, and it comes after the fair.
- It does not capture people who do not let themselves be scanned: those who walk past or prefer not to show their badge.
- Permission to write depends on how the organiser sets it up and what each visitor accepted: check your fair's conditions.
What your own system adds
An own system does not replace the scanner: it complements what it lacks.
- A page with your brand and a QR code at the stand that delivers the catalogue or price list right away.
- Each contact's interest, because they choose it when registering.
- Your own permission, collected with your wording and your checkbox.
- Same-day alerts to your salesperson.
- A prepared follow-up for afterwards (see the 30-day sequence).
How to combine them
- Rent the scanner if the fair offers it and the price seems reasonable.
- Put the QR at the stand for those who prefer to request the material from their phone.
- At the end, merge both sources into one list and remove duplicates.
- Mark each contact with where it came from (scanner, QR, card) and what they asked for.
- Apply the same follow-up sequence to all, with the message adapted to the type of visitor.
When the scanner is enough
If you go to the fair mainly to be seen and your team has real time to write on return, the scanner with a good follow-up sheet may be enough. If your sales cycles are long and each contact is worth a lot, it pays to cover what the scanner does not.
What you can do and what we can do
If you already have the scanner file, we import it, merge it with the rest and set up the follow-up in a few days. It is described in our trade fair lead capture and follow-up service, which includes a follow-up-only version. For manufacturers, this is how we plan customer acquisition for manufacturers.
